Define the objective.

Before you gather a single figure, decide exactly what your analysis needs to answer. Collecting the data

With your objective set, gather the specific financial statements, market figures, or ratios that answer the same categories covered above. Clean and organise the data

Result: 12%

A clean, visible calculation like this earns credit even if a small error slips in somewhere, because a marker can see and reward the method itself.

Interpret and present the findings.

A number on its own doesn't say much. A net profit margin of 12% means nothing until you compare it to something such as last year's figure, a competitor, or an industry average. Look at the difference between these two lines which mention the same result:

Weak: "The net profit margin was 12%."

Strong: "At 12%, the net profit margin has grown from 9% last year and now sits above the industry average of 10%, suggesting the company is managing its costs more effectively."

The second version compares the number to a benchmark and explains what the change means. After every calculation, ask yourself: compared to what, and so what? If you can answer both, you're interpreting, and if not, then you're only reporting.

How you present this matters almost as much as the interpretation itself. Use tables for multiple ratios or years so a reader can compare at a glance, add a short chart if you're showing a trend, and label every number clearly with its unit and time period so nothing is left for the reader to guess.
